BilBOT is a private WhatsApp assistant run for the Cartiera team. This page explains what it does with your data, including the data it gets from Google when an owner connects a Google Calendar.
What BilBOT keeps
- Messages sent to BilBOT and messages in the WhatsApp groups it has been added to, to answer, set reminders and write the daily digest.
- Short notes it learns about the people it talks with, which the team's administrators can see, edit and delete.
- Reminders, and the names, numbers and roles of the team members it may talk to.
Google Calendar
When an owner connects a Google account, BilBOT asks for the account's email address and for permission to see and add events on that account's calendars (calendar.events). It uses this only to:
- tell the owner what is on the calendar when they ask,
- add an event when the owner asks and confirms it, and
- send the owner a reminder on WhatsApp shortly before an event.
BilBOT stores the sign-in token encrypted on its server, and keeps no copy of calendar events beyond what is needed to avoid sending the same reminder twice. It does not sell Google user data, use it for advertising, or share it with anyone except as described here.
BilBOT's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who processes the data
To write its answers, BilBOT sends the relevant messages and calendar details to the AI model the team has chosen (Anthropic's Claude or Google's Gemini). Data is stored in a Postgres database hosted by Neon, and the bot runs on a private server.
Removing your data
An owner can disconnect Google Calendar on BilBOT's admin page at any time, which deletes the stored token; access can also be revoked at myaccount.google.com/permissions. To have your messages or notes deleted, ask the team's administrator or write to claudio.aditya@gmail.com.
